How to Lock Print Jobs

A locked print job requires you to enter a pass code at the printer in order for the document to begin printing. This can be handy in several scenarios:

  • You don't want your print job to end up in someone else's print pile.
  • You don't want others to see your document(s).

There are two ways to lock your print jobs. You can lock all of your jobs by default or you can do it on a per-job basis.

Lock a Single Print Job

  1. In the print dialog, select your printer and choose Printer Properties, or Printer Preferences (it may vary from application to application).
  2. Change the Job Type dropdown menu from Normal Print to Locked Print.
  3. Click the Details button.
  4. Set the User ID to your first name. This will help you find your print at the printer.
  5. Set the Password to up to 8 numbers. This will be the code you enter to unlock your job at the printer.
  6. Click OK.
  7. Print your document.

Lock Print Jobs by Default

The steps here are similar to adding a printer code.

  1. Open the Start Menu.
  2. Type Devices and Printers and open that result.
  3. Right-click on the printer that you wish to lock jobs for.
  4. In the context menu, select Printing Preferences.
  5. Change the Job Type dropdown menu from Normal Print to Locked Print.
  6. Click the Details button.
  7. Set the User ID to your first name. This will help you find your print at the printer.
  8. Set the Password to up to 8 numbers. This will be the code you enter to unlock your job at the printer.
  9. Click OK.

Retrieving Locked Prints

In order for your job to actually print, you need to unlock it at the printer.

  1. At the printer, push the Printer button.
  2. Tap the Print Jobs button at the bottom of the screen.
  3. Tap the print job with your User ID shown.
  4. Tap the Print button on the right side of the screen.
  5. Enter your print password on the keypad and tap OK.
  6. When asked to confirm your print, tap Yes.
