Enrolling and Unenrolling Students in Moodle as a Counselor

As a counselor, you have enroll and unenroll access to all Moodle courses. When a student's schedule is changed you need to remove that student from their old course and enroll them into their new course. For the most part, the steps here are the same as the teacher guide.

The general process of moving a student's classes in Moodle involves:

  1. Find the student's old class.
  2. Remove the student from their old class.
  3. Find the student's new class.
  4. Add the student into their new class.

How to Navigate All Courses in Moodle

Counselors have read access to all Moodle courses and can unenroll or enroll students into any course.

  1. When signed-in to Moodle, click All Courses… in the My Courses block.
  2. Expand the course list for the current year and expand the appropriate course category.
  3. When viewing courses in the list, you can click the ⓘ icon to see the course's instructor.
  4. Click the course title to view that course.

How to Switch a Student's Course Section in Moodle

Sometimes, instead of removing a student from a course, you simply want to switch their section. Sections in Moodle are defined by groups. Groups will be named like A-1 or B-5. Some courses will have groups that are not correct for the current year due to teachers inadvertently importing groups from old classes. Double check you are enrolling students into sections that actually exist in the current school year!

  1. Start viewing the course's main page.
  2. Click the gear on the top-right of the page and click More.
  3. Click the Users tab, then Enrolled Users.
  4. On the Enrolled Users page, type the student's name or student ID into the search box then click Filter.
  5. Click the trash icon next to the section that shows under the groups column, such as “A-1” or “B-6”.
  6. On the confirmation page, click Continue.
  7. Back on the enrollment page, click the icon for “Add user to group”. It looks like two shaded gray people and is under the Groups column in the table.
  8. On the next page, choose the section of your course to enroll the student in from the drop down menu. Click Save Changes.

How to Remove a Student from a Moodle Course

  1. Viewing the course page, click the gear on the top-right of the page and click More.
  2. Click the Users tab, then Enrolled Users.
  3. On the user enrollment page, find your student. You can scroll through the list or even type their student ID in the search box.
  4. When you've found the student, click the trash icon to the right side of the Enrolment Methods column to remove them from the course.
  5. At the confirmation page, click Continue.
  6. You've now unenrolled the student.

How to Add a Student to a Moodle Course

  1. Start at the course page. Click the gear on the top-right of the page and click More.
  2. Click the Users tab, then Enrolled Users.
  3. On the Enrolled Users page, click on the Enrol users button on the right.
  4. Enter the student's name or student ID in the search box at the bottom and click “Search”.
  5. Find the student in the search results, then click the Enrol button on the left.
    1. Optional: Use the search box again to add additional students.
  6. When you are done enrolling students, click Finish Enrolling Users.
  7. Now you need to add the new student(s) to their proper section in your course. In the search box, enter the student's name or student ID and click Filter.
  8. Once you've found the student you need to add to a section, click the icon for “Add user to group”. It looks like two shaded gray people and is under the Groups column in the table.
  9. On the next page, choose the section of your course to enroll the student in from the drop down menu. Click Save Changes.
